What this website collects
Nothing about you directly. There are no accounts to create, no forms to fill in, and no cookies. We use no analytics, advertising, or social-media tracking of any kind, and the fonts and images are served from this site rather than from third parties.
Our host, Vercel, keeps ordinary server logs — IP address, browser type, and the pages requested — so that the site can be delivered and protected against abuse. We do not use those logs to identify individual visitors.
Information you send us
When you write to the Club we receive whatever your message contains: typically your name, your Yale affiliation and email address, and your contact details in Hong Kong. Our club mailbox is hosted by Google. We use what you send to
- confirm your connection to Yale,
- keep the membership list current,
- send you club news and invitations to events, and
- add you to the Club WhatsApp group, if you ask us to.
We use it for nothing else. We do not sell, rent, or trade personal information, and we do not pass it to anyone for marketing.
Verifying your Yale affiliation
If you cannot write to us from a Yale email address and ask us to verify you another way, we will pass your name to the University so that it can be checked against the alumni records it maintains. Separately, you may choose to update your own Hong Kong address with the Yale Alumni Association; that is a matter between you and the Association.
WhatsApp and the newsletter
The Club WhatsApp group runs on WhatsApp, whose own privacy terms apply to it. Other members of the group can see your phone number and display name, so please join only if you are comfortable with that. You may leave the group whenever you wish, and you can ask us at any time to stop sending you the newsletter.
Who can see your information
Only the club officers who need it — the Club Secretary and the Membership and Communications committees. We will disclose personal information beyond that circle only where the law requires it, or where we believe in good faith that disclosure is necessary to comply with a legal process.
How long we keep it
For as long as you are part of the Club community. Ask us to remove you and we will take your details off our lists, retaining only what we need for our own record of past membership.
Your rights under Hong Kong law
Under the Personal Data (Privacy) Ordinance (Cap. 486) you have the right to ask what personal data we hold about you, to be given a copy of it, and to have it corrected if it is wrong. Write to us at yalehkorg@gmail.com and we will respond within 40 days, as the Ordinance requires.
Events and other websites
Registration and payment for our events happen at ychk.events, which keeps its own records under its own terms. This site also links to Yale and other external websites; we are not responsible for their privacy practices or their content.
Changes to this policy
We will post any revision on this page, and the date below shows when the policy was last changed. Questions about it are welcome — see also our legal disclaimer.
